Recruit Rooster (“RR,” “we,” “us,” or “our”) is committed to protecting your privacy. This Privacy Policy describes how we collect, use, disclose, and safeguard your information when you visit our website (recruitrooster.com) and use our services. This policy applies to all information collected through our website, our Candidate Relationship Manager Product, herein referred to as Talent Engage (“Talent Engage”) , our Talent Attract Video Application, herein referred to as Talent Attract (“Talent Attract”) and other related services.

By using our website or services, you agree to the practices described in this Privacy Policy.  Use of our website is governed by our Terms of Use.


Information We Collect

1.1 Personal Information

We collect the following types of personal information:

  • Contact Information: Name, email address, mailing address, phone number.
  • Business Information: Company name, job title, company address.
  • Job Search Information (via Talent Engage): Resume, geographic location, veteran status, and other details you voluntarily consent to provide.
  • Video and Image Assets (via Talent Attract): Image and video files provided by an Employer which may contain the name, image, likeness, or voice of employees.  Any individuals depicted in these image and video files have provided their explicit and unequivocal consent to their employer to appear in these assets compliant with any applicable right of publicity or name/image/likeness (NIL) laws for their region.

1.2 Automatically Collected Information

When you interact with our website, we automatically collect:

  • Device Information: IP address, browser type, operating system.
  • Usage Data: Pages visited, time spent on the site, and referring/exit pages.
  • Cookies and Tracking Data: Information collected through cookies, beacons, and similar technologies.

2. How We Use Your Information

We use your personal information for the following purposes:

  • To provide and improve our services.
  • To respond to your inquiries and customer service requests.
  • To assess your recruitment needs and recommend suitable products and services.
  • For Applicants: To create and manage your Talent Engage profile.
  • For Employers: To create and manage your Candidate Relationship Manager in Talent Engage.
  • For Employers: To create video and image files that are utilized via Talent Attract on the Employer’s website(s), in social media and within internal Employer resources.
  • To send newsletters, updates, and promotional materials (with your consent).
  • To conduct research and analysis to enhance user experience.

Legal Basis for Processing

While US privacy laws generally do not mandate legal bases, we align our practices with global standards:

  • Consent: For marketing communications and optional data sharing.
  • Contractual Necessity: For account creation and service provision.
  • Legitimate Interests: To improve services and analyze website usage.

5.2 Data Deletion Request in the United States

We understand and respect your right to request the deletion of your personal data. If you would like to submit a deletion request, please contact us using the information provided below.

For Data We Control: If we are the data controller of your personal information, we will review your request and, unless an exception applies, delete your data within the applicable U.S. legal timeframe (for example: typically 45 days under the California Consumer Privacy Act).

For Data We Process on Behalf of Our Clients: In cases where we act as a service provider or data processor on behalf of our clients, we may not delete your data directly without the consent of the client. Upon receiving your request, we will:

  1. Verify your identity to ensure the legitimacy of the request.
  2. Notify the relevant client about your deletion request.
  3. Await their instruction on whether to proceed with the deletion.

If the client approves the deletion, we will proceed and confirm the completion of your request with you. If we do not receive a response from the client within the appropriate timeframe, the responsibility for further action rests with the client.  However, we will inform you that the request was delivered to the client.  You may also reach out directly to the company holding your personal information at any time and request them directly to delete the data.

Please note that while we facilitate deletion requests, certain legal or regulatory obligations may require us or our clients to retain your data for a specified period.

We will respond to your request within the required time period as prescribed by the applicable privacy laws of your state.  Please note that our obligations under U.S. law may differ depending on whether or not we hold your data directly as a Business (aka a Data Controller) or as a Service Processor (aka a Data Processor).


6. Data Retention

We retain your personal information only as long as necessary to fulfill the purposes outlined in this policy or as required by law. For example:

  • Talent Engage data: Personal information stored in Talent Engage is processed and stored on behalf of the Employer.  In this situation, RR is in a Data Processor role for the Employer who is the Data Controller.  Personal information submitted to Talent Engage is retained in alignment with that Employer’s record retention policy for that particular Talent Engage instance  or until you submit a request to have your data deleted.  If you submit a request through our Data Deletion Request Form then we will inform the applicable Data Controller of the request in a timely manner.   You should review the individual Privacy Policy and other relevant policies for any potential Employer before providing the Employer with your personal information. 
  • Marketing data: Retained until you opt out.

7. Security Measures

We implement technical, administrative, and physical security measures to protect your personal information. No method of transmission over the Internet, or method of electronic storage, is 100% secure. If you have specific questions or concerns about the security of our website, please contact us.


8. Children’s Privacy

We do not knowingly collect personal information from individuals under 18. If you believe we have collected data from a minor, please contact us at privacy-rr@recruitrooster.com to have it removed immediately.


9. Privacy Rights for UK Residents (UK GDPR)

Our servers are located within the United States. Your data may be transferred to and processed in the United States. For our Talent Engage product, we use safeguards such as the UK International Data Transfer Agreement or Addendum to Standard Contractual Clauses to protect your data during these transfers.

Our servers are located within the United States.  For the processing of personal data within our Talent Engage product, we transfer data to and process it in the United States using mechanisms such as the European Commission-approved Standard Contractual Clauses to ensure compliance with EU data protection laws.

11.2 Testimonials

We display personal testimonials of satisfied customers on our site in addition to other endorsements. With your consent we may post your testimonial along with your name. If you wish to update or delete your testimonial, you may contact us.

11.3 Social Media widgets

Our website includes Social Media Features, such as the Facebook® Like button, links to our various social media pages and Widgets, such as the Share This button or interactive mini-programs that run on our site. These features may collect your IP address, which page you are visiting on our site, and may set a cookie to enable the feature to function properly. Social Media Features and Widgets are either hosted by a third party or hosted directly on our site.
